What an agent can take off your plate
AI automation for small business is not a strategy. It's a list of jobs. Here are the manual, paper, data-entry and repetitive ones an agent can take over this quarter, with a person checking the exceptions.
By job
Automate repetitive tasks, one at a time
Data entry automation
PDFs, emails and forms read by an agent and entered into QuickBooks, Salesforce or your spreadsheet. A person checks the exceptions.
Admin and back-office work
Scheduling, confirmations, document chasing and the daily updates that keep an office running. An agent runs the routine; a person handles the exceptions.
Orders, invoices and purchase orders
From a closed deal to a purchase order, an invoice and a payment link without re-keying, with a human approval before anything goes out.
A short test
If this list sounds like your week, an agent can help.
- Retyping emailed orders and PDF purchase orders into QuickBooks or the CRM
- Answering the phone after hours and writing up what the caller needed
- Chasing unpaid invoices with the third, fourth and fifth reminder
- Updating the spreadsheet that three people depend on and nobody owns
- Confirming appointments and rescheduling the ones that fall through
- Copying details from one system into another because they don't talk
- Sorting an inbox into things that need a person and things that don't
- Drafting the same three emails, forty times a week
The test for automating business tasks is simple: does a person do it every day, and would you notice if it was done wrong? If yes to both, it’s a fit for an agent with an approval step.
Questions we get asked
What makes a task a good candidate for AI automation in a small business?
A person does it daily or weekly, the rules mostly fit on one page, the inputs arrive in a predictable place (an inbox, a phone line, a folder), and a mistake is cheap to catch with an approval step. That covers most data entry, follow-up and admin work.
Can you automate business tasks without changing our software?
Yes. That's the model. Agents connect to your existing QuickBooks, Salesforce, Google Workspace, Slack or Airtable through their APIs and do the job there.
How is automation for small business different from Zapier or Make?
Those tools move data on fixed rules and stop when something doesn't match. An agent can read the PDF, the email or the call, decide what it means, act, and ask a person when it isn't sure. We use rule-based automation where it fits and agents where judgment is needed.
What's the first task most businesses hand over?
Whatever one person is doing at 7 p.m. Usually it's data entry from documents, after-hours phone calls or invoice follow-up.
Send us the job. We'll tell you if an agent can take it.
Thirty minutes. We'll tell you whether an agent can take it, what it would touch, and what it would cost. No deck.
